What is Hey Voya?

Hey Voya is a voice assistant that runs on the computer in your treatment room. You say "Hey Voya" and talk; Voya takes the clinical note, books the appointment, reads a patient's notes to you or adds a missing item to the supplies list. You never have to touch the keyboard.

Not a separate product. Hey Voya is included in your Voya plan. There's no extra fee or add-on: every clinic that uses Voya gets Hey Voya for its doctors.

1.How to use it

Turn on Hey Voya in the panel
Flip the switch on the Hey Voya page. Once a day is enough.

Say "Hey Voya"
Voya answers "Buyrun hocam" ("Yes, doctor") and listens.

Say what you need
You can ask for several things in a row. Voya does each one and asks whether there's anything else.

Get back to work
Say "bu kadar" ("that's all") or stay quiet for a few seconds. Voya goes back to sleep until the next "Hey Voya".

2.What you can say

Four jobs, each done with one sentence. Hey Voya understands Turkish, so the examples are in Turkish with an English translation.

Take a clinical note

Say what you did. Voya writes a clean note and saves it to the patient. If it's wrong, she corrects or deletes it.

You: 24 numaralı dişe kanal tedavisi yapıldı, üç ay sonra kontrole gelsin.Root canal done on tooth 24, she should come back in three months.
Voya: Ayşe Kaya için not alıyorum, doğru mu hocam?I'm taking this note for Ayşe Kaya, is that right?
You: Evet.Yes.
Voya: Hocam not aldım.Note saved.

Result: A clinical note under Ayşe Kaya: tooth 24, root canal, follow-up in 90 days. The note's audio can be played in the panel.

More examples: “Diş numarası yanlış, 24 olacak.” (The tooth number is wrong, it should be 24.) · “Bu notu sil.” (Delete this note.)

Book an appointment

Ask which slots are free, then book one. The patient's phone number comes from your records.

You: Yarın öğleden sonra hangi saatlerim boş?Which slots are free tomorrow afternoon?
Voya: Yarın 14:00 ve 16:30 boş hocam.Tomorrow 14:00 and 16:30 are free.
You: 16:30'a Mehmet Demir'e randevu ver.Book Mehmet Demir in at 16:30.
Voya: Hocam randevuyu oluşturdum.The appointment is booked.

Result: An appointment for Mehmet Demir tomorrow at 16:30, in your practice software.

Hear a patient's notes

Before you start a treatment, have Voya read the patient's last notes aloud.

You: Ayşe Hanım'ın son notlarını okur musun?Can you read Ms. Ayşe's last notes?
Voya: Tabii hocam, son iki notu okuyorum...Of course, reading the last two notes...

Result: Voya reads the patient's most recent notes, newest first.

Report a missing supply

When something runs out, say it. It goes to the clinic's supplies list, not to a patient.

You: Kompozit bitti, not al.We're out of composite, note it.
Voya: Malzeme notunu kaydettim hocam.I've saved it as a supplies note.

Result: "Composite is out, needs ordering" on the supplies list, marked high priority. Your team ticks it as "bought".

More examples: “Eldiven azaldı, sipariş verelim.” (We're low on gloves, let's order.)

3.Which patient is a note saved to?

Hey Voya reads your schedule, so it knows which patient is booked for the current time. When you dictate a note, Voya asks you about that patient; the note is attached only after you say yes.

Talking about someone else? Say their name and Voya finds them.
A general note with no patient is fine too.

4.Privacy

Nothing happens before "Hey Voya". Until the wake phrase is heard, nothing is transcribed, processed or recorded.
Only what comes after "Hey Voya" is kept. That conversation is recorded for your review and handled in line with KVKK.
Doctors edit only their own notes. A doctor can read the clinic's notes but can't change or delete a colleague's.

5.Common questions

Does Hey Voya cost extra?: No. It's part of your Voya plan, not a separate product or add-on.
Does it need special hardware?: No. A computer with a microphone and your Voya panel open is enough.
What if Voya writes a note wrong?: Tell her right away ("the tooth is 24, not 21") and she fixes it, or ask her to delete it. You can also edit notes in the panel.
Where do appointments come from?: From your practice software, using the same integration Voya uses on the phone.
