Article 1

Voyavox Software and Technology Industry Trade Limited Company (hereinafter the "Company" or "Data Controller") attaches great importance to the security and confidentiality of your personal data.

In accordance with Law No. 6698 on the Protection of Personal Data ("KVKK"), we process your personal data in our capacity as data controller within the framework explained below and in compliance with the relevant legislation. This Disclosure has been prepared to inform data subjects who visit our website and contact us to benefit from our services about how their personal data is processed by our Company.

Article 2

Your personal data may be processed for the following purposes, within the processing conditions and purposes set out in Articles 5 and 6 of the KVKK:

  1. Conducting communication activities: Responding to the questions, requests, and complaints you send us through the contact forms and demo request forms on our website or other communication channels, and getting in touch with you.
  2. Conducting sales processes for goods/services: Presenting our AI-powered voice assistant product, giving demos, and managing potential sales processes.
  3. Conducting customer relationship management processes: Managing relationships with potential and existing customers, evaluating feedback, and ensuring customer satisfaction.
  4. Conducting marketing analysis studies: Analyzing website and software visitor behavior to improve the performance of the software and the website.
  5. Conducting advertising/campaign/promotion processes: Carrying out information, campaign, and promotional activities related to our products and services.
  6. Conducting activities in compliance with legislation: Fulfilling our obligations arising from the relevant legal regulations.
  7. Conducting information security processes: Ensuring the security of the website, the software, and information systems, and preventing unauthorized access.
  8. Providing information to authorized persons, institutions, and organizations: Providing information in line with legal obligations or the requests of competent authorities.

Article 3

The categories of personal data processed by our Company are as follows:

  1. Identity data: Name, surname, Turkish ID number.
  2. Contact data: Email address, phone number.
  3. Professional data: Name of the institution where you work (dental clinic), position.
  4. Customer transaction data: Demo request details, support requests, communication records, cookie records.
  5. Transaction security data: IP address, log records.

Article 4

Your personal data is collected by our Company electronically, through the contact forms and demo request forms on our website, email, phone, and cookies, by automatic and/or partly automatic means. The legal bases for processing your personal data rest on the conditions set out in Articles 5 and 6 of the KVKK:

  1. Explicit consent of the data subject: In particular for marketing activities and in cases where explicit consent is legally required.
  2. Being expressly provided for by law: Fulfilling our obligations arising from legal regulations.
  3. Being necessary to process the personal data of the parties to a contract, provided that it is directly related to the conclusion or performance of that contract: Within the scope of demo and product sales processes.
  4. Being mandatory for the data controller to fulfil its legal obligations: Legal notification and record-keeping obligations.
  5. Having been made public by the data subject: Data the data subject has made publicly available.
  6. Being mandatory for the establishment, exercise, or protection of a right: Management of legal proceedings.
  7. Being mandatory for the legitimate interests of the data controller, provided that it does not harm the fundamental rights and freedoms of the data subject: Software and website performance analysis, security measures.

Article 5

The personal data collected may be transferred to the following persons or categories, in line with the processing purposes stated above and in accordance with the transfer conditions set out in Articles 8 and 9 of the KVKK:

  1. To our business partners: Within the scope of marketing and business development activities, in accordance with the explicit consent that must be obtained from you and/or the relevant legal conditions.
  2. To our service providers: Our domestic or international third-party partners from whom we receive services such as website hosting, infrastructure services, cloud storage, and clinic management and patient tracking programs produced for the dental sector. These transfers are made within the limits necessary for service provision and secured by contracts.
  3. To legally authorized public institutions and organizations: To competent public institutions and organizations upon request, for the purpose of fulfilling our legal obligations.

Article 6

In accordance with Article 11 of the KVKK, as a data subject you have the following rights:

  1. Learning whether your personal data is processed,
  2. Requesting information about the processing if your personal data has been processed,
  3. Learning the purpose of processing your personal data and whether it is used in accordance with that purpose,
  4. Knowing the third parties to whom your personal data is transferred domestically or internationally,
  5. Requesting correction of your personal data if it has been processed incompletely or incorrectly, and requesting that the correction be notified to the third parties to whom your personal data has been transferred,
  6. Requesting deletion or destruction of your personal data within the framework of the conditions provided in Article 7 of the KVKK, and requesting that this be notified to the third parties to whom your personal data has been transferred,
  7. Objecting to a result arising against you from the analysis of the processed data exclusively through automated systems,
  8. Requesting compensation for damages if you suffer harm due to unlawful processing of your personal data.

To exercise your rights, you may submit your application to our Company in writing or through other methods determined by the Personal Data Protection Board. It is important that the required information in your application is complete and that the subject of your request is clearly stated.

Our Company will conclude the requests in your application as soon as possible and within thirty days at the latest, depending on their nature. If the process requires an additional cost, the fee in the tariff determined by the Personal Data Protection Board may be charged.
